Questions about Approvals
What are Accreditation, Technical Documentation Control, and Supervision Installation? What is the difference?
Accreditation – This is the process by which a Builder obtains permission to carry out installation and dismantling work for the exhibition display, according to the submitted Accreditation Application. This is done as the exhibition space builder at the Exhibition Complex with LLC "Technical Operator," which acts as the Technical Service of the exhibition. It involves verifying the builder's documents to meet the minimum requirements for exhibition space builders.

Technical Documentation Control – This is the process by which a Builder obtains permission to construct a specific exhibition stand within the Exhibition Complex with LLC "Technical Operator," acting as the Technical Service of the exhibition. It involves checking the stand's project-technical documentation for compliance with the requirements for exhibition space construction.

Supervision Installation – This is the technical supervision of the Builder's activities. It involves controlling the actions taken by the Builder for constructing the exhibition space at the Exhibition Complex with LLC "Technical Operator," acting as the Technical Service of the exhibition. It ensures the construction actions are aligned with the builder's documents and meet the requirements for exhibition space construction. Builders without an ISO 9001 certificate or those with two or more recorded violations of the Requirements must arrange for Supervision Installation.

We are participants in the outdoor exhibition and only want to install our exhibit and a couple of flags. What should we do?
To access the outdoor exhibition area, you need to go through the approval process for the stand's project documentation. For this, you need to:
1) Order the service for the approval of project-technical documentation for the outdoor exhibition.
2) Submit the following documents to the exhibition's technical service:
  • Layout of the exhibition stand with all elements (including exhibits) marked on the plan and signed.
  • Certificate (Refusal or guarantee letter) from the manufacturer of tents or advertising structures over 1.2 meters high, installed in the stand area, stating that the structure can withstand certain wind loads (including gusts up to 25 m/s), or a wind load calculation.
  • If ordering electricity for the stand, provide documents on the electrical personnel (Order of appointment of the responsible person; Labor and electrical safety instruction sheet; Rostekhnadzor protocol or knowledge check journal issued by an educational center; Electrician's certificate).
  • Letter for the import-export of equipment and materials.
3) Obtain installation passes for employees from the exhibition's technical service.

I rented an unfurnished exhibition space and now want to build something <like this>...
On an unfurnished exhibition space, you can only build a stand that fits the overall concept of the "INNOPROM" exhibition and fully complies with the "Requirements for the design of exhibition stands" (see Chapter 2 of the "Regulations").

I am an exhibitor and would like to build my stand on an unfurnished exhibition space myself. Are there any restrictions?
Only companies that have a "GOST R ISO 9001 Certificate" (related to the design, construction of exhibition stands, electrical work up to 1000 volts) or "SRO Certificate" (related to construction and electrical work up to 1000 volts) are allowed to build. SRO approval (certificate) is mandatory for builders of two-story stands. In exceptional cases, exhibitors with qualified personnel, including electrical personnel with at least a category IV electrical safety clearance, may be allowed to self-build.
For designing complex stands (e.g., two-story stands and suspensions) and performing static calculations, the project organization must be a member of a project SRO.
For the installation of a two-story stand, the installation organization must be a member of any construction SRO.
In exceptional cases, Builders of simple individual stands and Exhibitors who build their stand independently without the required certificates must enter into a Contract-Application for quality control of completed work with the exhibition's technical service. Exhibitors without a Certificate, Certificate, or qualified electrical personnel are not allowed to self-build!

I am filling out Form F5 (for fire approval); where should I send it?
According to the "Regulations for the organization and conduct of installation and dismantling work at the 'Innoprom' exhibition," approval of exhibition stand and exposition construction projects is carried out by the Technical Service based on the "one-stop-shop" principle. The project review period is 5 working days... The fire safety section of the exhibition stand's structures and materials is a mandatory part of the project for all stands. It includes: a letter with a list of materials used during the construction and installation work of the exhibition stand, formatted according to Form F5; a scheme of smoke detector placement related to stand structure elements (for two-story stands and stands with closed ceiling structures); measures to ensure fire safety during installation and/or dismantling of the exhibition stand (including fire-hazardous work) and/or during the installation of the stand or equipment; fire certificates for all combustible materials of the exhibition stand with the necessary category, or, if the materials do not fall into this category, a Fire Treatment Act, certificates for the materials used, a contract with a licensed company performing the treatment, and a copy of the company's license.
If you receive a response stating: "Lacking an APPROVED letter from the Fire Safety Engineer of the IEC according to Form 5," it means that the fire safety section sent for review must:
  • In the case of sending an APPROVED letter according to Form 5, have a "Approved" mark from the Fire Safety Engineer of the IEC and his signature with the date on the scan.
  • In the case of sending a NOT APPROVED letter according to Form 5, attach all the documentation listed in this response above, including all fire certificates and/or Fire Treatment Acts for combustible materials for approval.

I sent you a set of documents for approval, but I received a response saying "project not accepted" and listing violations...
